Overseeing the project management function for a team of fun, creative, professionals and reporting to the AVP, Philanthropic Engagement and Campaign Communications, the Project Manager and Event Operations Coordinator will be responsible for setting up, monitoring, and ensuring timely completion of all projects, which range from straightforward, linear design and writing projects, to multi-media and web deliverables, to complex strategic initiatives.

 

This will require close collaboration with all team members and contracted vendors, oversight of project management systems with an eye on proactively improving those systems based on ongoing analysis of effectiveness and leveraging strong familiarity with project management tools, methodologies, and best practices. The position also requires taking an active role in vetting and testing new technologies, including event and digital platforms, with diligent attention to detail and ease with translating complex technologies for full staff adoption.
The Project Manager will collaborate as necessary with vendors and the WSU Foundation Finance Team to manage the creation of vendor contracts and ensure the timely payment and documentation of all vendor invoices and other business expenses. The position will also support calendar scheduling for the AVP and assist with coordinating team travel, processing reimbursements, and handling other general administrative tasks of the team.
This position will assist with event operations, serving as a point of contact for guests and invitees, corresponding via phone, email, and in-person. Assist with coordinating guest and invitations lists, as well as administrative support for emails/newsletters and stewardship projects. Prepare event details and materials, provide on-site support, and coordinate know-before-you-go information for guests.
